About ZagCal

What is ZagCal?

ZagCal mirrors your calendars' busy/free across every account and organization, so a meeting on one calendar shows as busy on all of them and you're never double-booked. It copies only that you're busy — never your event titles or details.

How is ZagCal different from other calendar sync tools?

Most sync tools copy your whole event across, leaking titles, guests, and notes between calendars. ZagCal copies only the one thing that prevents a double-booking: that you're busy. Everything else stays put, access tokens are encrypted at rest, and every organization you belong to is strictly isolated.

Does ZagCal store my event details?

No. To know when you're free, ZagCal reads only the busy/free time ranges from your connected calendars. It does not read or store event titles, descriptions, guests, or locations — unless you deliberately switch a specific sync to full-detail mode (see below).

Getting started

Which calendars does ZagCal support?

Google Calendar, Microsoft 365 / Outlook, and Apple iCloud (via CalDAV).

How do I connect a calendar?

Create a free account, then connect Google, Microsoft, or Apple from the Connections screen and choose which calendars mirror to which — and in which direction. Setup takes just a few minutes.

Is there a mobile app?

ZagCal is a responsive web app that works in any modern browser on phone, tablet, or desktop. There's no separate native app to install.

Can I control exactly what syncs?

Yes. You pick which calendars sync to which, and in which direction — one-way or two-way — so you stay in control of every connection.

Privacy & sync options

What does "busy/free only" mean?

ZagCal only ever reads and writes whether you're busy — never event titles, guests, notes, or locations. When it mirrors a commitment to your other calendars, it writes a generic "Busy" block with no detail about the underlying meeting.

Can I sync real event details if I want to?

Yes, as an explicit opt-in. Full-detail mode copies a calendar's real event titles onto another of your own calendars (for example, work → personal). It's off by default, asks for confirmation before it turns on, applies per sync, and copying the event description is a separate optional toggle. The privacy-first busy/free behavior remains the default everywhere else.

Can I change the placeholder title or color?

Yes. Per sync, you can replace the default "Busy" label with a custom title (like "Work") and give the mirrored blocks a color — handy if you juggle multiple jobs and want to tell at a glance which calendar a blocked slot came from.

Plans & billing

Is the free plan really free?

Yes — personal use is free with no credit card. You get one active sync across all your providers, updated on a regular schedule (about every 15 minutes). There's no trial clock.

What's the Solo plan?

The full paid experience for exactly one person: unlimited active syncs, unlimited calendars, and real-time push for $3/mo (or $2.40/mo billed annually — $28.80/yr). It includes a single seat; if you later need teammates, switch to Pro any time from the billing portal.

What do I get on Pro?

Everything in Solo — unlimited active syncs, unlimited calendars (no per-calendar caps), real-time push — plus unlimited seats with shared organization management for teams. All still privacy-first.

How is Pro billed, and can I cancel?

Per seat, billed monthly ($5) or annually ($4 / seat / mo — save 20%). Payments run securely through Stripe; we never see or store card details. Manage or cancel any time from the in-app billing portal, and you keep Pro through the period you've paid for.

What's in Business, and do you support SSO?

Business adds single sign-on (Google Workspace, Microsoft Entra, Okta), enforced SSO with verified-domain routing, centralized admin controls, priority support, and a DPA / security review. Pricing is tailored to your organization — email sales@zagcal.com.

What happens to my data if I downgrade?

Nothing is deleted. Your calendars stay connected; if you're over the free limit, the extra syncs simply pause (the oldest stays active) until you upgrade again.

Security & your data

How are my credentials protected?

Access tokens and calendar credentials are encrypted at rest using envelope encryption with versioned, rotatable keys — a database read alone cannot reveal them. Google and Microsoft connect via OAuth with the minimum scopes needed for free/busy; Apple iCloud uses an app-specific password over CalDAV, never your main Apple ID password. All traffic runs over TLS.

How do I export or delete my data?

Both are self-serve, any time, from your account settings. You can export a copy of your account data (built from an allowlist of fields — never tokens or event content) and you can delete your account entirely. On deletion ZagCal removes your data and tears down the busy placeholders it created on your calendars; your real events are never touched.

What happens to mirrored events when I disconnect?

Disconnect a calendar and ZagCal removes the busy placeholders it created there. Your real events are always left alone.

Booking pages

What is a booking page?

A personal link where people can book real openings from your true availability — with buffers, blackout dates, and daily limits. It's built on the same sync foundation, so it always reflects when you're actually free.

Do booking pages expose my schedule?

No. Visitors only ever see open time slots, never your event details. When someone books, that real meeting is written only to the single calendar you chose; your other calendars see just the generic busy block — so a booker's name and notes never leave your target calendar.
